Folders in the Mail Module - How to Organize Correspondence

In Intum, you can create custom folders to better categorize incoming messages (e.g., by ticket types or specific clients). Folders help keep the main Inbox tidy and make team collaboration easier.

Where to Find Folders?

You can access folders in two ways:

  1. From the sidebar - in the Mail module, on the left side under the main mailboxes, there is a Folders section. Expand it to see all your folders.
  2. From the modules menu - click the four-dots icon in the upper right corner, then in the Mail section select the Folders link.

How to Create a New Folder?

  1. Go to the folder list (4 dots -> Mail -> Folders)
  2. Click the Create folder button
  3. Fill in the form:
    • Name - enter a folder name, e.g., “Complaints” or “Orders”
    • Description - a brief note about the folder’s purpose
    • Responsible person - designate the employee to whom emails landing in this folder should be assigned by default
    • Department - you can restrict the folder’s visibility to selected employee groups only
    • Hidden - check if the folder should be visible only to administrators

Working with Folders

Automation through filters is the most effective approach. Set up filters that will automatically sort messages - e.g., all emails with the word “invoice” in the subject go straight to the “Accounting” folder.

You can also move messages manually - select an email and from the top bar choose the target folder with the “Move to” option.

On the folder list, you can see the number of unread messages and the person responsible for each area.

If you use folders to handle specific processes, it’s worth assigning a permanent responsible person in the folder settings. This way, every email that lands there will immediately appear in the correct employee’s Inbox.

Message Visibility in Folders

Assigning a message to a folder does not remove it from the main work view. Intum is designed so that no email gets lost in a folder - even after assignment, the message remains visible to the responsible person in their main Inbox. The folder is an additional organizational layer, not a place where messages disappear.
